ConnectLife’s Blood Donation Network is an integral part of the WNY Community: blood donors help provide more than 75% of blood supply in our local hospitals.  In other words, one blood donation can save up to 3 lives in our community!  


                                                                                                                                                             Account Coordinator


Job Summary

 

Responsible for coordinating and supporting the relationships with community partners and blood drive sponsors across market segments within assigned region. Provide exceptional customer service and support for mobile blood drives while working with Account Executives to achieve maximum results. Responsibilities also include general communication and customer service with donors.


Pay:

$16.00-19.00 per hour


Schedule:

  • Full-time
  • Monday-Friday, standard office hours: 8:00am-4:30pm.


Education Requirements:

 

  • High school diploma or equivalent required.
  • Associate degree preferred.


Experience:


  • 1-2 years of customer service experience in an office setting preferred.


Knowledge, Skills, and Abilities:


  • Excellent interpersonal and customer service skills, written, verbal, and phone communication skills required.
  • Proficiency in Microsoft Word and Excel required. Proficiency in Adobe Illustrator preferred.
  • Must be adaptable to change, detail oriented, and highly organized with the ability to think critically and multi-task while maintaining focus and accuracy through interruptions.
  • Experience working in a collaborative team environment strongly preferred.
  • Must have professional appearance and demeanor.
  • Valid NYS driver’s license and reliable transportation.

 

Required Physical Demands:

 

  • Continuous sitting, up to 6 hours
  • Occasional standing, walking, bending, squatting, and kneeling.
  • Frequent lifting, carrying, pushing, and pulling up to 10lbs. Occasional lifting, carrying, pushing, and pulling up to 25 lbs.
  • Occasional reaching forward, lateral, and overhead.

 

 

Essential Job Functions:

 

  1. Coordinate and perform all internal support functions associated with mobile drive recruitment and booking in support of Account Executives to increase projection accuracy, calendar management and productivity of blood drives.
  2. Maintain a good relationship with Account Executives and sponsors to meet booking requirements by addressing issues, maintaining regular communication, responding to inquiries, providing updates, and effectively managing resources. 
  3. Coordinate and complete designated timeline tasks in the 7-week plan and document notes in the calendar for blood drives in a timely manner. This includes emails and follow-up to sponsors to confirm blood drives and associated logistics, promotional material creation and distribution, final check-ins, and post drive communication.
  4. Assist in scheduling appointments for current, lapsed, and potential donors through inbound/outbound calls, texts, or emails according to standards in order to meet business goals.
  5. Ensure all account records and information are up to date in associated systems. This includes account details, drive history data, and contact information.
  1. Answer/follow up on calls/voicemails, texts, and emails from donors and sponsors. Execute outbound communications of the same. Take necessary action to answer or resolve questions/issues or elevate to the appropriate staff. Field and appropriately direct phone calls regarding general organizational inquiries.
  1. Coordinate, print, and assemble memorial and promotional materials to be sent to new and existing sponsors and community partners.
  2. Utilize former donor lists to distribute promotional material and support recruitment of upcoming drives.
  3. Create and process ABO Donor report bi-weekly to send to vendor for donor ID card distribution.
  1. Coordinate the blood drive signage process with Blood Donor Services and Recruitment as needed.
  2. Follow appropriate messaging guidelines as directed by management and assures quality customer service to all customers.
  3. Obtain and update donor information (e.g., demographic and deferral information) as necessary.
