Position Overview:

The Talent & Onboarding Specialist supports Heritage Behavioral Health Center’s recruitment operations, ensuring every new hire experiences a seamless and welcoming hiring and onboarding process. Reporting to the Talent & Onboarding Manager, this role provides hands-on coordination across recruitment and onboarding.

This position assists with recruiting, scheduling, pre-employment screening, and onboarding logistics, serving as a key point of contact for applicants and new hires.

Primary Goal: Ensure every new hire experiences a seamless and welcoming hiring and onboarding process.


Leadership & Team Expectations:

  • Maintain confidentiality and attention to detail.
  • Collaborate effectively with the Talent & Onboarding Manager and hiring managers.
  • Communicate clearly and follow through reliably.


Core Responsibilities:

Recruitment Operations

  • Assist with recruiting and applicant communication.
  • Coordinate interview scheduling.
  • Process background checks, drug screens, reference checks, and credential verification.
  • Maintain recruitment tracking.
  • Complete employment verifications.
  • Assist the Talent & Onboarding Manager with recruitment initiatives.

Onboarding Coordination

  • Prepare and process new hire paperwork.
  • Coordinate orientation and onboarding checklists.
  • Conduct 30-day onboarding follow-up.
  • Ensure onboarding tasks are completed accurately and on time.
  • Perform other duties as assigned consistent with this role.


Performance Expectations / What Success Looks Like:

The Talent & Onboarding Specialist will be successful in this role when:

  • Applicants and new hires receive timely, organized, and welcoming communication.
  • Pre-employment screening is completed accurately and on schedule.
  • Recruitment tracking and onboarding records are accurate and up to date.
  • The Talent & Onboarding Manager is well-supported in filling positions.


Knowledge, Skills and Abilities:

  • Strong organizational skills and attention to detail.
  • Excellent interpersonal and communication skills.
  • Ability to manage multiple tasks and deadlines.
  • Comfort with applicant tracking systems, HRIS (ADP), and Microsoft Office.
  • Ability to handle confidential information with discretion.


Education and Experience:

Required:

  • High school diploma or equivalent.
  • Minimum 1 year of administrative, customer service, or HR experience.

Preferred:

  • Associate’s or Bachelor’s degree.
  • Experience in recruitment, onboarding, or HR.
  • Experience in healthcare or a nonprofit setting.

Note: Equivalent combination of education and experience will be considered.


Physical Requirements and Working Conditions:

  • Ability to sit, stand, and work at a computer for extended periods.
  • Ability to occasionally lift and carry office materials or supplies (up to approximately 20 lbs).
  • Ability to travel occasionally between Heritage sites as needed.
  • Valid driver’s license, reliable transportation, and proof of current auto insurance may be required.
  • Ability to respond calmly and effectively in sensitive or high-pressure situations.
