Senior Onboarding Specialist

The Senior Onboarding Specialist plays a critical, high-level role in ensuring the seamless, compliant, and welcoming integration of new hires into our organization. In addition to executing advanced onboarding functions, this role serves as a process leader, managing complex workflows, training hiring managers, staff, and junior team members while acting as a vital backup for compliance and financial administration. The ideal candidate possesses strong leadership capabilities, exceptional attention to detail, and deep expertise in Onboarding processes.

This role is primarily remote but does require up to 10% travel to attend meetings and events across NYC.

Essential Functions:

 

Advanced Onboarding & Process Leadership

  • Facilitate the comprehensive onboarding process for new hires and current employees selected for new opportunities internally.
  • Assist new hires with the completion of mandatory paperwork, and strictly enforce compliance with company policies and procedures both remotely and in-person.
  • Continuously evaluate, update, and optimize onboarding templates, manuals, and workflows to enhance organizational efficiency and the new hire experience.
  • Act as the key point of contact for union communications regarding new hires, ensuring all union-eligible employees are accurately processed and informed according to collective bargaining agreements.
  • Serve as onboarding point of contact for new hires and internal stakeholders, processing complex inquiries and providing timely, high-level troubleshooting.  
  • Provide strategic support on other selected HR projects, programs, and initiatives as directed by leadership.
  • Provide direct support, mentorship, and training to junior onboarding and HR staff to ensure department-wide consistency and accuracy.

 

Compliance, Auditing & Background Screening

  • Conduct and oversee complex and comprehensive background checks using multiple databases and resources.
  • Participate in audit preparation activities including running reports, updating candidate files, and pulling and reviewing physical employment records.
  • Maintain accurate, up-to-date records of background check results, sensitive candidate information and other critical onboarding documentation.
  • Serve as dedicated backup to Compliance Specialist.
  • Serve as dedicated backup for critical onboarding tasks including PEX Card Reloads, securing Authorization Codes.

 

Minimum Qualifications

  • High School Diploma required, Associates Degree or Bachelor’s Degree preferred
  • 5+ years of progressive experience working within a Human Resource function, with a heavy emphasis on high-volume onboarding and compliance.
  • Exceptional attention to detail, customer service, interpersonal, and verbal/written communication skills.
  • Absolute commitment to the principles of confidentiality and data security.
  • Advanced reporting, record-keeping, and database management skills.
  • Proficiency working with Applicant Tracking Systems (ATS) and HRIS platforms.
