Position: Onboarding Specialist
Location: Mechanicsburg, PA (ONSITE)
Schedule: Monday-Friday, 8:00AM-4:30PM (Full-Time)

Purpose of Position:
As an Onboarding Specialist at West Shore Home, you will support the growth of West Shore Home’s Regional and Corporate departments by providing a seamless, supportive, and engaging experience to all potential new hires. They serve as the key point of contact for new hires and business leadership with regards the onboarding process.
Key Role Accountabilities:
- Manages the pre-employment compliance process to ensure timely and accurate delivery of all required screening and documentation, in alignment with regulatory standards and company policies.
- Demonstrates the ability to proficiently learn and utilize HRIS system to affirm all new employees meet West Shore Home hiring standards.
- Establishes initial contact with candidates following the acceptance of their offer, welcoming them and clearly outlining the onboarding tasks to ensure they understand the time-sensitive nature and the specific steps required for completion.
- Facilitate resolution of ambiguous or incomplete medical screening outcomes, ensuring results are clearly communicated, properly interpreted, and escalated when necessary to protect business and employee readiness.
- Processes Pre-Adverse Action and Adverse Action letters to inform candidates that they do not meet West Shore Home’s hiring standards based on the results of their background check and/or education and employment history, as outlined in the company’s hiring matrix.
- Coordinates health screening logistics for new hires, ensuring appointments are scheduled promptly and in accordance with Company defined requirements.
- Serves as a consistent point of contact for new hires, providing proactive guidance and support throughout the onboarding process to ensure a smooth and fully compliant Day One experience.
- Maintains effective relationships with external partners, including vendors and clinics, to promptly resolve issues and remove barriers that could delay onboarding timelines.
- Validates completion of all pre-hire requirements with candidates, management, and relevant team members to ensure new hires are fully prepared and cleared to begin employment on their designated start date.
- Communicate any false starts or delayed start dates to all relevant team members to ensure alignment and appropriate adjustments to onboarding plans.
- Maintains regular and punctual in-person attendance in accordance with the ADAAA, FMLA, and applicable federal, state, and local regulations.
Must-Have Requirements:
- Must be authorized to work in the United States without requiring current or future employer-sponsored work authorization. The company does not and will not sponsor employment visas.
- High school diploma or equivalent required.
- High attention to detail.
- Experience with HRIS software preferred.
- Demonstrated ability to work well independently and as part of a team.
