Position Summary
Join Northern Michigan’s premier provider of Applied Behavior Analysis (ABA) in the treatment of clients diagnosed with autism and make a difference in the lives of local families and in our community. North Arrow ABA is seeking a full-time Onboarding Specialist to join our Human Resources team and support our growing organization of 150+ clinical and administrative staff.
This role is fully administrative in nature and focuses on coordinating, executing, and continuously improving the employee onboarding experience from offer acceptance through full integration into the organization. The Onboarding Specialist serves as a critical operational hub, ensuring new hires receive a seamless, organized, and high-quality onboarding experience.
This position reports directly to the HR Director and is based in our Traverse City, Michigan center, with occasional travel to other center locations as needed. The work is primarily on-site, with limited flexibility for remote work as appropriate.
Essential Functions
- Lead and coordinate the full onboarding process for new hires, ensuring a smooth, timely, and organized transition from offer acceptance through full integration into the organization
- Execute all onboarding administrative tasks including documentation, system setup, scheduling, and coordination across departments
- Serve as the primary point of contact for new hires during onboarding, providing timely communication, guidance, and a high level of customer service
- Coordinate with clinical and administrative leaders to schedule onboarding activities, training sessions, and system access
- Maintain accurate and up-to-date onboarding records, checklists, and employee files within HR systems
- Collaborate with HR, operations, and clinical leadership to continuously improve onboarding workflows and materials
- Identify inefficiencies in onboarding processes and proactively recommend and implement improvements or innovations
- Ensure a positive, professional, and welcoming experience for all new employees
- Support HR team initiatives including recruiting coordination, scheduling support, and administrative project work as needed
- Respond to data requests, onboarding metrics, and reporting needs from company leadership
- Assist in coordination of onboarding logistics for both clinical and administrative staff, including BCBA staff as needed
Qualifications and Education
Required Qualifications
- Strong administrative and organizational skills with exceptional attention to detail
- High proficiency with technology, including Google Workspace, HRIS systems (BambooHR preferred), and applicant tracking systems
- Ability to manage multiple competing priorities in a fast-paced environment with accuracy and consistency
- Excellent written and verbal communication skills
- Strong customer service mindset with a focus on responsiveness and professionalism
- Demonstrated reliability, dependability, and follow-through on commitments
- Experience with instructional design or adult learning
- Ability to work both independently and as part of a collaborative HR team
- Open to feedback, adaptable to change, and comfortable adjusting priorities as needed
- Strong problem-solving skills and ability to identify process improvements
- Proven ability to handle confidential information appropriately
Required Education
- Minimum of 2 years of experience in a fast-paced administrative, operations, HR support, or office coordination role with multiple competing priorities
- High school diploma or equivalent required
Preferred Education:
- Associate’s or Bachelor’s degree in business, human resources, communications, or related field
- Prior experience in onboarding, employee coordination, or administrative workflow management
- Experience in healthcare or multi-site operational environments
- Prior exposure to HR systems, recruiting coordination, or employee onboarding processes
Additional Requirements:
- Reliable transportation and ability to travel occasionally between center locations as needed
