The Onboarding Specialist facilitates the integration of new employees into the organization, ensuring they are informed, prepared, and supported in their new roles. They work closely with the HR Manager, hiring managers, and company leadership to create a seamless onboarding experience that enhances employee satisfaction and retention. You will also play an important role in supporting a positive workplace culture by assisting with employee programs, maintaining accurate HR records, and helping administer people-focused policies and initiatives.
Duties and Responsibilities
The Onboarding Specialist is a hands-on HR support role requiring strong organizational skills, professionalism, and a basic understanding of HR processes and compliance standards. The Onboarding Specialist assists in maintaining efficient HR operations while supporting employees and managers across the organization.
Duties include, but are not limited to:
- Assist with recruitment activities including job postings, applicant tracking, and candidate communication when needed.
- Coordinate interview scheduling between candidates and hiring managers.
- Assist with job fairs and recruiting initiatives as needed.
- Maintain applicant records and recruitment documentation.
- Support hiring managers by ensuring smooth and organized candidate experience.
- Coordinate onboarding activities for new hires.
- Ensure all required employment documentation is completed and properly maintained.
- Maintain employee personnel files and HR records.
- Assist with HR administrative processes and documentation.
- Serve as a backup point of contact for employee questions related to HR policies, procedures, and benefits if HR Director is unavailable.
- Maintain confidentiality when handling sensitive employee information.
- Assist with maintaining compliance with federal, state, and local employment laws.
- Support HR leadership with audits, recordkeeping, and required HR documentation.
- Assist with maintaining HR policies and ensuring consistent application across departments.
- Maintain employee data within the HRIS system and ensure data accuracy.
- Assist with generating HR reports and maintaining documentation required for compliance.
- Support HR leadership with HR-related administrative projects and reporting needs.
- Assist with employee engagement initiatives and company events.
- Support HR communications and employee programs.
- Help promote a positive, collaborative, and professional workplace environment.
- Other duties as assigned.
Qualifications
Qualifications include:
- Bachelor’s degree preferred.
- 2–4 years of experience in HR or a related field preferred.
- Working knowledge of employment laws and HR best practices.
- Experience working with HRIS systems preferred.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Ability to maintain confidentiality and handle sensitive information professionally.
- Strong problem-solving and critical-thinking skills.
Working Conditions
The Onboarding Specialist primarily works in an office environment while collaborating with leadership and employees across the organization. This position requires the ability to work at a computer for extended periods and manage multiple administrative tasks simultaneously. Exposure to confidential employee information and sensitive workplace matters is expected.
