The HR Onboarding Specialist is responsible for managing the full-cycle onboarding process for all new hires, ensuring a seamless, compliant, and engaging employee experience from offer acceptance through orientation and transition to their assigned location. This role requires exceptional organizational skills, accuracy, urgency, and confidence facilitating new hire orientations for large groups. The ideal candidate is bilingual in Spanish and English, highly knowledgeable in Human Resources, and experienced using ADP Workforce Now.


Key Responsibilities

  • Manage the full-cycle onboarding process for all new hires across multiple locations.
  • Coordinate and facilitate new hire orientation sessions in both English and Spanish.
  • Present company policies, procedures, benefits, culture, and compliance information to large groups with professionalism and confidence.
  • Ensure all onboarding documentation is completed accurately, timely, and in compliance with federal, state, and company requirements.
  • Process new hire information through ADP Workforce Now, ensuring data accuracy and timely employee setup.
  • Complete and audit Form I-9s, E-Verify (if applicable), tax forms, direct deposit, wage notices, and all required employment documentation.
  • Maintain accurate employee personnel files and electronic records.
  • Partner with Recruiting, Operations, Payroll, and Store Management to ensure a smooth transition for all new employees.
  • Track onboarding metrics and provide regular status updates to the HR leadership team.
  • Respond promptly to employee and manager inquiries regarding onboarding and employment documentation.
  • Ensure strict confidentiality of employee information.
  • Identify opportunities to improve onboarding processes and enhance the new hire experience.
  • Assist with additional HR projects and administrative duties as assigned.

 

Qualifications

Education

  • Bachelor’s degree in Human Resources or equivalent.


Experience

  • Minimum of 3 years of Human Resources experience with a strong understanding of onboarding and HR compliance.
  • Demonstrated experience managing high-volume, full-cycle onboarding.
  • Advanced proficiency with ADP Workforce Now (required).
  • Fluent bilingual in English and Spanish (reading, writing, and speaking) is required.
  • Strong knowledge of:
  • Employment laws and HR compliance
  • Form I-9 and employment eligibility verification
  • New hire documentation
  • Personnel records management
  • Exceptional verbal and written communication skills.
  • Confident public speaker with the ability to lead engaging orientation sessions for large groups.
  • Highly organized with exceptional attention to detail and accuracy.
  • Ability to prioritize multiple tasks while meeting tight deadlines.
  • Professional, approachable, and customer service-oriented.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook).

Preferred Qualifications

  • Experience supporting multi-location or high-growth organizations.
  • Experience working in the hospitality or restaurant industry.
  • HR certification (PHR, SHRM-CP, or equivalent) is a plus.

Physical Requirements:

  1. The ability to lift up 25 pounds regularly & un-assisted
  1. Ability to remain seated and work at a computer for extended periods.
  2. Ability to occasionally lift up to 15 pounds.
  3. Ability to travel occasionally to company locations, if needed.

Work Environment

This position operates in a professional office environment and may require occasional visits to company locations. The role involves frequent use of computers, accounting software, and standard office equipment.
