Overview
Empire & Co. is seeking an Account Manager / Account Coordinator – Walls to join our growing team and work from our NYC office.
This role is responsible for providing exceptional customer service, sales support, and project coordination throughout the project lifecycle in a timely and accurate manner. Responsibilities include quote and order management, order status reporting, installation coordination, client communication, and punch list follow-up.
This position partners closely with sales, vendors, operations, and clients to support projects from initial opportunity through installation and project completion. The ideal candidate is highly organized, detail-oriented, collaborative, and comfortable managing multiple priorities while delivering an exceptional client experience.
Key Responsibilities
Sales & Account Management
Support account managers and sales teams throughout the project lifecycle
Acquire vendor discounts and verify pricing (CDA)
Assist with specification review and verification
Prepare quotes and support conversion from quote to order
Complete required order header information (sales codes, taxes, ship-to information, carton/uncarton requirements)
Complete applicable order instructions and supporting documentation
Color code floor plans and organize counts
Request Certificates of Insurance (COI)
Manage and reserve COM and COL requirements
Manage COD processes and handle auto pricing
Assist in labor quote requests
Ensure proper approvals prior to quote conversion
Request proforma invoices when deposits are required
Ensure orders are properly released within Hedberg
Order & Project Coordination
Confirm receipt of purchase orders with vendors
Confirm acknowledgements and manage vendor follow-up
Create and manage vendor requests for deposits
Lead resolution of acknowledgement discrepancies
Create and maintain order status reports throughout project execution
Coordinate with internal and external stakeholders to maintain timelines and deliverables
Pre-Installation
Create Operations requests (union/non-union; standard time/overtime)
Assist in preparing installation packages and supporting project documentation
Installation & Project Closeout
Maintain punch list documentation and communicate updates to clients
Order punch list items and coordinate approvals where applicable
Create laser and RA tickets when PM support is not involved to support freight claims
Support successful installation completion and project closeout
Post Installation
Coordinate invoicing upon delivery and installation completion
Process day-two orders and follow-up activities
Maintain client contact to ensure satisfaction and ongoing relationship management
QualificationsSkills & Qualifications
High School Diploma plus 1–3 years of professional experience required
Salary Range: $90,000 – $120,000 annually
Bachelor’s degree or equivalent combination of education and experience preferred
Prior experience in account management, sales coordination, commercial interiors, architectural products, walls, construction, furniture dealership, project coordination, or related industries preferred
Experience supporting sales teams and managing client relationships throughout the project lifecycle preferred
Furniture dealership and/or Walls experience is a plus but not required
Knowledge of commercial construction processes, specifications, order management, and installation coordination preferred
Proficiency with Microsoft Office Suite (Outlook, Excel, Word); experience with Hedberg or similar ERP/order management systems preferred
Proven organizational and time management skills with strong attention to detail
Strong critical thinking and problem-solving capabilities
