POSITION SUMMARY
The Recruitment & Onboarding Specialist manages day to day hiring and onboarding activities to ensure a smooth, efficient, and positive experience for candidates and new employees. This role supports full cycle recruitment, coordinates all onboarding steps, and partners with hiring managers and HR team to maintain accurate documentation and compliant processes.

Essential Functions Statement(s)
The Recruitment & Onboarding Specialist duties and responsibilities include, but are not limited to the following:
- Manage full cycle recruitment for assigned positions, including requisition intake, job posting, screening, interviewing coordination, and offer preparation.
- Draft and update job descriptions and post to the applicant tracking system and external job boards.
- Review applications, conduct initial phone screens, and recommend qualified candidates to hiring managers.
- Coordinate interviews, communicate schedules, and ensure timely follow up with candidates.
- Maintain accurate candidate records and workflow updates in the applicant tracking system.
- Support outreach efforts by posting jobs to community partners, attending job fairs, and assisting with employer branding initiatives.
- Provide hiring managers with guidance on recruitment processes and best practices.
- Coordinate and facilitate new hire onboarding, ensuring all required documentation is completed accurately and on time.
- Prepare onboarding materials, schedules, and communication for new hires.
- Conduct portions of new hire orientation, including paperwork review and company introductions.
- Serve as the primary point of contact for new employees during the onboarding period.
- Coordinate with IT, payroll, facilities, and department leaders to ensure new hire readiness.
- Track onboarding progress and follow up on outstanding items to ensure a smooth transition into the organization.
- Manage pre-employment processes including background checks, required testing, and reference checks
- Assist with I-9 verification, E-Verify submissions, and periodic internal audits.
- Ensure recruitment and onboarding documentation complies with company policies and regulatory requirements.
- Maintain organized and accurate recruitment and onboarding files in accordance with record retention guidelines.
- Support AAP/EEO data collection and reporting by providing accurate and timely information to the Employment Supervisor.
- Recommend improvements to recruitment and onboarding workflows to enhance efficiency and candidate experience.
- Collaborate with the Employment Supervisor on process updates, compliance initiatives, and reporting needs.
- Provide feedback to HR leadership on hiring trends, candidate feedback, and process challenges.

SKILLS & ABILITIES
Education & Experience:
Bachelor’s degree in Human Resources, Business Administration, or related field preferred; 1-3 years experience in recruitment, onboarding, or related HR functions; Bilingual (English/Spanish) is preferred, but not required.
Computer Skills:
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, etc.); Experience with ATS & HRIS platforms preferred.

Must be able to multi-task and adapt to change quickly, while remaining professional and courteous. The successful candidate will be motivated and have the ability to work well on their own, have positive interpersonal skills, and communicate well with the public, fellow employees and supervisors. This includes the ability to function as a team player. Regular and consistent attendance is a must.
