Department: Human Resources
Pay Rate: $25 an hour
Full time 40 hours per week; 
Monday-Friday 8:30am - 4:30pm

Position Overview: The Onboarding Specialist is a member of the human resource team and is responsible for coordinating, administering, and facilitating all onboarding activities and new hire orientation processes. This position ensures a smooth, welcoming, and compliant transition from offer acceptance through initial employment by maintaining accurate documentation, coordinating orientation sessions, and providing support to new employees during their first stages of employment. 


Essential Job Functions: 

Onboarding Administration & Coordination

    Coordinates and manages all Bridgeway onboarding activities from offer acceptance through the employee’s first day of employment

    Serves as a primary point of contact for new hires throughout the onboarding process, providing guidance on Bridgeway policies, procedures, timelines, and required documentation

    Assembles, distributes, tracks, and follows up on all Bridgeway new hire onboarding materials, including employment forms, health and clearance documentation, policy acknowledgements, and required pre employment requirements

    Ensures completion and compliance with Bridgeway specific onboarding requirements, including licensure and credential verification, background checks, health clearances, and regulatory documentation as applicable

    Communicates employee start dates and onboarding status to internal Bridgeway departments to ensure timely access setup and readiness

    Performs HRIS data entry and maintains accurate personnel and onboarding records in accordance with Bridgeway record keeping standards

    Maintains compliance with Bridgeway, state, and regulatory requirements related to onboarding documentation and record retention

    Upholds strict confidentiality of all Bridgeway employee records, onboarding materials, and personnel information

    Provide backup capacity for scheduling interviews and applicant tracking system (ATS) management as needed

    Perform other duties and special projects as assigned by management

New Hire Orientation

    Schedules, coordinates, and facilitates new hire orientation sessions (in person and/or virtual)

    Prepares orientation agendas, materials, and onboarding packets

    Maintains records of completed orientation sessions

    Ensures orientation schedules and materials are current and accessible to new hires and internal stakeholders

Data Management and Communication

    Assists in the collection and management of onboarding related data and documents from multiple sources, including paper and electronic systems

    Maintains accurate onboarding records and files within HRIS and other electronic platforms

    Receives, manages, and distributes onboarding related correspondence from internal and external sources

    Assists with routine reports related to onboarding activity as assigned

Customer Service & Administrative Support

    Provides positive customer service through all forms of interaction with new hires and internal stakeholders

    Answers onboarding related inquiries and provides timely follow up and guidance

    Schedules onboarding appointments, orientation sessions, and meetings assigned

    Participates in HR staff meetings, in-service trainings, and department initiatives as assigned

Other Skills/Abilities

     Proficient in Microsoft Office, Office 365, Adobe 

     Experience with ADP WFN preferred 


Requirements

Education/Certifications:

     Associate or bachelor’s degree preferred

Experience:

    Minimum of two (2) years of administrative, HR support, or onboarding related experience

    Experience with HRIS systems such as ADP WFN, electronic data management, and personnel file maintenance.

    Proficiency with Microsoft Office and electronic document management systems

    Prior customer service experience.

    Must be detailed oriented and very well organized. 

Driver’s License, Vehicle:

    Valid driver’s license required

    No more than one moving violation within the past 12 months

    Vehicle required
