Seat Description

An Account Coordinator at Loudr is the operational backbone of the client team—an organized, proactive executor who creates clarity, accountability, and momentum across every account they support.

Working under the direction of an Account Manager, Senior Account Manager, or Account Supervisor, the Account Coordinator helps ensure that the commitments Loudr makes to clients are translated into clear internal actions and delivered accurately, on time, and within scope.

This role goes beyond administrative support. Account Coordinators are expected to understand what is happening across their accounts, anticipate what is needed next, identify potential gaps before they become problems, and keep both account leaders and execution teams informed.

The Account Coordinator owns much of the operating discipline of the account: timelines, briefs, agendas, meeting recaps, action items, asset organization, project status, scope tracking, and follow-through.

This seat is also a development path toward Account Management. Account Coordinators are expected to build an understanding of their clients' businesses, Loudr's capabilities, agency economics, and the fundamentals of strategic client leadership.

Core Functions

1. Account & Project Coordination

  • Maintain a clear, current understanding of all active projects, deliverables, deadlines, dependencies, approvals, and next steps across assigned accounts.
  • Build and maintain project schedules in Loudr's project management systems.
  • Proactively follow up with internal teams and account leaders to keep work moving and prevent missed deadlines.
  • Ensure tasks include the information, assets, deadlines, owners, and context necessary for execution teams to complete the work successfully.
  • Draft clear and actionable creative briefs based on client requests and account leadership direction.
  • Coordinate the routing of creative, media, digital, production, and other deliverables through internal review and client approval.
  • Track client feedback and revisions and ensure they are clearly communicated back to execution teams.
  • Identify missing information, stalled approvals, competing deadlines, or other project risks and escalate them early.
  • Maintain organized client files, brand assets, approvals, historical work, and documentation.

The expectation: The Account Coordinator should always be able to answer: What is happening? Who owns it? When is it due? What are we waiting on? What happens next?

2. Meeting Excellence & Follow-Through

Account Coordinators help uphold Loudr's standards for well-run client relationships.

  • Support Account Managers in preparing client agendas in advance of meetings.
  • Ensure agendas clearly identify priorities, decisions needed, open items, and relevant project updates.
  • Attend assigned client and internal meetings and capture meaningful notes, decisions, owners, and next steps.
  • Prepare and distribute concise meeting recaps and action items within 24 hours.
  • Immediately translate meeting decisions into updated tasks, timelines, briefs, and internal assignments.
  • Maintain an ongoing record of client commitments and outstanding action items.
  • Follow up proactively rather than waiting for account leadership to identify overdue tasks.

A meeting is not complete until the decisions and next steps from that meeting are documented and moving.

3. Client Communication & Service

  • Support Account Managers in providing responsive, polished, and organized communication to clients.
  • Draft routine client communications, project updates, follow-ups, meeting recaps, and requests for information.
  • Respond to assigned client requests promptly and ensure the appropriate Account Manager is aware of issues requiring escalation.
  • Maintain professionalism, accuracy, and attention to detail in all client-facing communication.
  • Build trust with clients through reliability, preparation, responsiveness, and follow-through.
  • Begin developing confidence participating in client conversations and presenting routine project or status updates.

Account Coordinators are not expected to independently own client strategy, but they are expected to understand the context behind the work they are coordinating.

4. Internal Team Partnership

  • Serve as a reliable connection between Client Services and Loudr's strategy, creative, media, digital, production, finance, and other execution teams.
  • Provide internal teams with clear direction, complete information, and realistic deadlines.
  • Protect execution teams from unnecessary confusion, incomplete requests, and avoidable last-minute fire drills.
  • Consolidate client feedback before routing revisions whenever possible.
  • Communicate changes in priorities, deadlines, deliverables, or client expectations quickly.
  • Respect internal workflows while helping identify opportunities to make those workflows better.
  • Build strong working relationships across departments through clarity, accountability, and respectful communication.

5. Scope, Budget & Account Health

Account Coordinators help Account Managers protect the financial health of their accounts.

  • Understand the basic scope of work for each assigned client and what Loudr has committed to deliver.
  • Track deliverables against the approved scope and flag requests that may represent additional or out-of-scope work.
  • Support accurate time tracking and help identify missing or inconsistent time entries when appropriate.
  • Assist Account Managers with monitoring project hours, budgets, production costs, media-related documentation, and other account financial information.
  • Maintain records of scope changes, approvals, estimates, and change orders.
  • Help prepare billing documentation and other financial support materials.
  • Raise potential scope creep, resource constraints, or budget concerns early rather than after work has been completed.

Account Coordinators are not expected to own account profitability, but they are expected to understand that time, resources, scope, and profitability are connected.

6. Reporting & Performance Support

  • Gather campaign, media, digital, social, SEO, sales, and other relevant performance information for client reporting.
  • Assist in preparing monthly reports, quarterly business reviews, presentations, and client updates.
  • Confirm reporting inputs are complete and accurate before they reach account leadership.
  • Maintain historical reporting and performance documentation.
  • Begin learning how marketing activity connects to client business performance rather than simply reporting activity or outputs.

Building Business Acumen

Every Account Coordinator at Loudr is expected to begin developing knowledge across the Five Areas Every Account Manager Should Know:

Business

Understand the client's business model, revenue goals, major priorities, locations, growth plans, and competitive landscape.

Customer

Understand who the client's best customers are, who they want more of, and how customers discover, purchase from, and remain loyal to the business.

Sales

Develop familiarity with sales performance, seasonality, major product or service categories, and the KPIs that matter to the client's business.

Marketing

Understand the client's major campaigns, media investment, CRM, website, social, events, partnerships, co-op programs, and other marketing activity.

Operations

Develop awareness of the operational realities that may impact marketing—including staffing, inventory, technology, POS/CRM systems, vendor relationships, and other business challenges.

The Account Coordinator isn't expected to have every answer. They are expected to become increasingly curious about the questions.

Accuracy matters. Names, dates, links, budgets, deliverables, approvals, versions, and deadlines should be right.

Stay Curious

Ask questions. Learn the client's business. Learn Loudr's disciplines. Understand how the agency makes money and how great client relationships grow.

Skills & Qualifications

  • 1–2 years of relevant experience in marketing, advertising, communications, PR, project management, or agency operations; relevant internships may qualify.
  • Bachelor's degree in Marketing, Advertising, Communications, Business, or a related field preferred.
  • Exceptional organizational and project-management skills.
  • Strong attention to detail and commitment to accuracy.
  • Strong written and verbal communication skills.
  • Ability to manage multiple accounts, projects, priorities, and deadlines simultaneously.
  • Comfortable following up with teammates and creating accountability without waiting to be asked.
  • Strong judgment around when to solve independently and when to escalate.
  • Ability to receive feedback, adapt quickly, and continuously improve.
  • Familiarity with project management platforms such as Airtable, Asana, ClickUp, or similar tools.
  • Working knowledge of common marketing channels and an eagerness to develop deeper knowledge across creative, media, digital, social, SEO, CRM, and production.
  • Interest in learning agency financial fundamentals, including scope, hours, budgets, utilization, and profitability.

  • Keeps assigned projects organized, current, and moving forward without requiring constant Account Manager intervention.
  • Consistently prepares accurate agendas, briefs, timelines, status updates, and meeting recaps.
  • Ensures meeting notes and action items are documented and distributed within 24 hours.
  • Knows the status and next step of every significant deliverable on their assigned accounts.
  • Anticipates deadlines, missing information, approvals, and potential bottlenecks before they create problems.
  • Builds trust with internal teams because requests are organized, complete, and thoughtfully communicated.
  • Builds trust with Account Managers because commitments do not fall through the cracks.
  • Understands the fundamentals of each client's scope and flags potential scope creep early.
  • Demonstrates growing understanding of client business objectives and performance.
